Executive Assistant to the COO

The Mikisew Cree First Nation (Mikisew) has lived on the ancestral lands of the Athabasca Delta and Wood Buffalo National Park in northeastern Alberta since time immemorial. The lives of our members are linked to the land and to a close understanding of traditions, history and a natural way of life. Many of our members live in the hamlet of Fort Chipewyan, and our traditional lands range over a large portion of Athabasca oil sands deposits. Who You Are

Mikisew is currently seeking a dedicated and compassionate Executive Assistant to the COO.  As the Executive Assistant to the Chief Operating Officer (COO), you will play a crucial role in supporting the COO in managing administrative tasks, coordinating schedules, and facilitating communication within the organization. You will serve as the primary point of contact between the COO and internal/external stakeholders, ensuring smooth operations and efficiency in day-to-day activities.

Please note that this position is based in Fort Chipewyan, AB.

 ROLES AND RESPONSIBILITIES:

  • Manage the COO’s calendar, schedule appointments, and coordinate meetings, ensuring efficient use of time and prioritization of tasks.
  • Screen and respond to emails, phone calls, and other correspondence on behalf of the COO, demonstrating professionalism and discretion.
  • Prepare agendas, presentations, and documents for meetings, taking minutes and following up on action items as needed.
  • Conduct research, compile data, and prepare reports to support decision-making processes and initiatives led by the COO.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries, ensuring smooth logistics and accommodations for the COO’s business trips.
  • Collaborate with other executives, departments, and external partners to facilitate communication, coordinate projects, and streamline processes.
  • Handle confidential information with integrity and discretion, maintaining strict confidentiality regarding sensitive matters.
  • Anticipate the needs of the COO, proactively identifying opportunities to enhance efficiency, productivity, and effectiveness in their role.
  • Provide administrative support, including organizing files, managing expenses, and performing other tasks as assigned by the COO.

Qualifications

  • High school diploma or equivalent; post-secondary education in business administration or related field is an asset.
  • 2-4 years of experience in an executive support role or administrative position.
  • Strong understanding of standard office administration practices and procedures.
  • Experience in managing multiple calendars.
  • Typing speed of 45-50 WPM and proficiency in Microsoft Office – Office 365 (Excel, Word, PowerPoint, Publisher).
  • Proven experience in building working relationships with First Nations communities and partners.

Other Requirements

  • Possess a valid Class 5 AB driver’s license
  • Willingness and ability to travel as required.
  • Willingness and ability to work after hours and/or weekends and be on-call when required.
  • Willingness to submit to an oath of confidentiality.
  • Successful Completion of Criminal Record Check.
  • Willing to work flexible schedule. Combination of working remotely, in-office, and at community locations.
  • Must be fluent in English and have excellent written and verbal communication skills.
  • Strong working knowledge and proficiency in Microsoft Office Software is essential.
  • Ability to provide clear, precise information to Leadership and members.
  • Ability to speak and/or understand the Cree language (or another applicable First Nation language) would be beneficial.
