Who We Are
The Mikisew Cree First Nation (Mikisew) has lived on the ancestral lands of the Athabasca Delta and Wood Buffalo National Park in northeastern Alberta since time immemorial. The lives of our members are linked to the land and to a close understanding of traditions, history and a natural way of life. Many of our members live in the hamlet of Fort Chipewyan, and our traditional lands range over a large portion of Athabasca oil sands deposits. For nearly 30 years, Mikisew Group, our wholly owned business arm, has worked toward the long-term, sustainable economic progress of our Nation and its members through employment and significant investments in education, training, social programs and infrastructure.
Who You Are
Reporting to the Chief Executive Officer, the Executive Assistant is responsible for providing high-level administrative support to the Chief and Council, ensuring efficient operation of the office, and facilitating communication between the Chief and Council, MCFN staff, and external stakeholders. This position requires a highly organized, detail-oriented, and proactive individual who can handle culturally sensitive, confidential information with discretion. The Executive Assistant will be responsible for managing schedules, coordinating meetings, planning events, booking travel, preparing documents, and performing various administrative tasks to support the leadership team in their duties.
This position is based in Fort Chipewyan, AB
Roles & Responsibilities
Calendar Management
- Manage the Council’s calendars and efficiently arrange and oversee meeting logistics, ensuring that all necessary documents and meeting agendas are prepared ahead of the scheduled meetings.
Council Meetings
- Attend Council meetings, record all minutes, facilitate, and follow up on issues related to meetings, resolutions, and other activities.
Communication Management
- Screen and manage incoming calls, directing them to appropriate parties.
- Prioritize and manage calendar requests and inquiries to ensure seamless day-to-day engagements.
Administrative Support
- Plan and schedule appointments, meetings, conferences, teleconferences, and travel arrangements.
- Review documents, reports, and correspondence for format, content, grammar, and spelling before Chief and Council signatures, making edits as needed.
- Handle administrative tasks such as preparing complex documents and reports, composing correspondence, maintaining contact lists, preparing expense reports, and assisting with special projects.
Research and Development
- Assist with research activities within the Mikisew department in coordination with the Director and other departmental personnel.
- Support in the management and maintenance of deliverables requirements.
- Participate in work plan and budget development, including proposal writing.
Travel Coordination
- Organize travel arrangements for Chief and Council.
Event Coordination
- Plan and execute MCFN events such as treaty days, holiday events, and social media engagements on platforms like Facebook to engage MCFN members.
- Ensure effective and cost-efficient management of events, including the planning and tracking of budgets.
- Liaise with internal departments, including finance, communications, guest speakers, graphic designers, etc., to ensure all events are within budget and scope.
- Manage orders, merchandise, and apparel for all events and event-related activities.
- Evaluate and improve processes with a focus on efficiency, cultural and appropriate content/activities.
- Other duties as required.
Qualifications
- High school diploma or equivalent; post-secondary education in business administration or related field is an asset.
- 2-4 years of experience in an executive support role or administrative position.
- Experience delivering events on time, and on-budget.
- Strong understanding of standard office administration practices and procedures.
- Experience in managing multiple calendars.
- Typing speed of 45-50 WPM and proficiency in Microsoft Office – Office 365 (Excel, Word, PowerPoint, Publisher).
- Proven experience in building working relationships with First Nations communities and partners.
Other Requirements
- Excellent analytical skills and strong attention to detail.
- Valid class five (5) Driver’s Licence.
- Willingness to submit to an oath of confidentiality.
- Successful Completion of Criminal Record Check.
- Willing to work flexible schedule.
- This position will work various hours to meet the needs of business operations. May include days, evenings, weekends, and holidays.
